Privacy Policy

This policy explains how VooDealer handles account, dealership, shopper, website, billing, and AI-feature information.

1. Our role

VooDealer is accountable for personal information under its control. For dealership account and billing information, VooDealer determines why and how the information is used. When a shopper submits a lead on a dealer website, the dealership decides how to use that lead and VooDealer processes it to provide the service. Shoppers should contact the dealership first about its sales and marketing practices.

2. Information we collect

  • Account and dealership information, such as name, email, phone, address, branding, domain, and working hours.
  • Inventory and media, including VINs, vehicle attributes, prices, photos, videos, and listing copy.
  • Shopper and lead information submitted through dealer forms, such as name, email, phone, inquiry type, message, vehicle interest, marketing consent records, and unsubscribe status.
  • Subscription and transaction details from our payment processor. VooDealer does not store full payment card numbers.
  • Usage and device information, such as IP-derived security identifiers, browser details, referring page, listing views, timestamps, and diagnostic logs.
  • Content submitted to AI-assisted features and the drafts those features produce.

3. Why we use information

We use information to create and secure accounts; host dealer websites and inventory; route and manage leads; provide analytics, billing, domains, media, email notices, and customer support; generate requested AI drafts; prevent fraud and abuse; troubleshoot and improve the service; communicate service information; and comply with legal obligations.

4. Consent and choices

We seek meaningful consent where required and limit collection to what is reasonably needed for stated purposes. Dealers must obtain any consent required for their own marketing. Optional dealership marketing consent is recorded separately from a request to reply to a current inquiry. Marketing email can be declined or withdrawn using the unsubscribe link in dealer email. You may also withdraw consent subject to legal and contractual restrictions by contacting us.

5. AI-assisted processing

When an authorized dealer requests an AI draft, relevant vehicle, dealership, or lead content may be sent to an AI service provider to generate the requested output. AI drafts are not automatically sent to shoppers or published by VooDealer’s Action Center. Dealers should not enter credit reports, banking details, government identifiers, passwords, or other highly sensitive data into AI features.

6. When we share information

We share information with the applicable dealership, with service providers that help us operate hosting, storage, email, payments, vehicle data, security, analytics, domains, and AI features, and when required for a lawful request, safety, fraud prevention, a business transaction, or enforcement of our agreements. We do not sell personal information.

7. Processing location

VooDealer and its providers may process information outside your province or outside Canada. Information may therefore be subject to the laws and lawful access rules of those locations. We use contractual and technical safeguards appropriate to the information and service.

8. Retention and safeguards

We retain personal information only as long as reasonably needed for the purposes described, legal obligations, dispute resolution, security, and backups. We use administrative, technical, and physical safeguards appropriate to the sensitivity of the information. No internet service is completely secure, so dealers must also use strong passwords and control account access.

9. Access and correction

You may ask whether VooDealer holds personal information about you and request access or correction, subject to lawful exceptions. We may need to verify your identity. If your information was submitted to a dealership, we may direct the request to that dealership or assist it in responding.

10. Cookies and similar technology

We use session and security cookies required for login and operation. Dealer sites may also record listing views, referrers, and device information for security and performance analytics. Browser controls can limit cookies, but essential account features may then stop working.

11. Children

VooDealer is a business service and is not directed to children under 13. We do not knowingly collect their personal information. Contact us if you believe a child has provided information.

12. Privacy questions and complaints

VooDealer’s Privacy Officer can be reached at info@voodealer.com. Describe your request and the account or dealer site involved. We will investigate and respond within a reasonable time. You may also contact the Office of the Privacy Commissioner of Canada or the applicable provincial regulator.

13. Changes

We may update this policy as the service or legal requirements change. We will post the revised effective date and provide additional notice for material changes where appropriate.
